DEPARTMENT UPDATES Information Services ASCII Basics of Word Processing Part I This week's article was suggested by a reader who felt that a refresher on word processing basics would be a good topic. Many people often start working on a computer by typing letters, memos and other correspondence. A word processor is the software that allows the computer operator to type documents and perform other text related tasks that used to be performed manually, including spell checking, grammar checking, aligning text, and preparing outlines. The word processor is the most popular computing use. During training, people are often told that the computer "works just like a typewriter". While there are similarities with typing a document, there are actually more differences. The computer makes many tasks easier. We will be looking at these differences and how they can help you. The most common misunderstanding with a word processor is how it handles spaces, tabs, end of lines and other such basic chores. On a typewriter, you pressed the return key when you arrived at the end of a line. This would advance the paper -to the next line and move the carriage to the start of that line. On a word processor, this is totally unnecessary. The computer automatically knows where you are and moves the cursor to a new line when you reach the end of the current line. This one seemingly little feature can save you more time than many others. You no longer have to watch the paper or listen for a tone, On the typewriter, you had to erase the word or extend it past the margin if you started to type a word that was too big for the remaining space. The computer will automatically start a new line and move the word to it. All you have to do is continue typing. No more trying to figure how to fit this document neatly onto the paper. When you reach the end of a sentence, type your period, add any spaces and begin your next sentence. When, and only when you reach the end of a paragraph, can you press the return or enter key. This will perform the same action as a typewriter, moving your cursor to the far left of a new line. To add extra lines, just press the return or enter key again. There is another reason to follow these common word processing conventions. As you begin to exchange documents with co-workers, the computer will automatically adjust the size of the lines to perfectly match the printer that is being used. This is very helpful for someone that does not have a printer on their desk, but has access to one, since their printed output will look right. RAP -A -ROUND 09/10/93 Page 3 In summary, when you are typing a document on a computer, do not use the return or enter key to move the cursor to a new line, unless, Tom Reich to City employees, as well as past and present Mayors and Councilmembers. 1. You are at the end of the paragraph, or 2. Your sentence is less than one line long. Next time we will look at some of the other differences between typewriters and word processors. Good computing! Public Utilities Certified Andy Hammack recently received his Wastewater Collection System Operator certificate from the Texas Water Commission. This certification is a result of successfully completing training and testing for the Class H certification. Congrats to Andy for his continuing education efforts. Awards Presented The San Gabriel Wastewater Treatment Plant received the Region VI, Environmental Excellence Award for Operations and Maintenance of Wastewater Treatment in a ceremony held at the Capital Extension Auditorium on Tuesday, September 7 in Austin. EPA Region VI representative, Tom Reich, presented the award plaque to the Mayor and Councilmembers and then presented the EPA flag to the Plant Operators. This facility was chosen the regional winner, after winning State of Texas recognition from the Texas Water Commission in the same category. As state winner, this facility qualified to compete in the Region VI U.S. EPA competition. The Region VI area includes five states: Texas, New Mexico, Oklahoma, Arkansas and Louisiana. Winning this award over five other states representing the Region VI area is truly an accomplishment and worthy of a big congratulation! On Wednesday, September 8, approximately 100 guests attended an awards luncheon at San Gabriel Park Community Center. A catered meal, prepared by Marriott Catering of Southwestern University, was enjoyed by all in attendance. Awards were presented by City Manager Bob Hart and Region VI representative Texas Representative Mike Krusee gave the congratulatory address from the State and presented certificates of award from the Governor's office. Preceding the awards luncheon, tours of the award winning facility were given to approximately 35 guests. The facility, festively decorated for the event, was at its shinning best. Special thanks to Larry Revering, Johnny Davis, Mike Staton, Edward Frye, Cyndy Williams, Pete Anderson, Earl Wood, and Jim Braddock for their efforts in making this award a reality. Without their dedicated and consistent high level of superior performance in lab work and maintenance of the facility this award would not have been possible. It is a tribute to the City of Georgetown and these employees, whose pride and dedication bring this degree oThonor to the'community in which it serves. A big round of applause for Penny Thomas who orchestrated the awards ceremony and did a fantastic job making the event so special for this hard working group. Team Work Rewarded Larry Revering and Bob Stevenson have created a new incentive program in the Water/Wastewater Departments. Each week a "Crew of the Week" is selected from the 2 man crew members in the department. To qualify as "Winners" the crew must have demonstrated proper, neat dress; friendly attitude toward fellow employees, as well as customers in the field; practiced "Safety First" during job performance; properly cleaned vehicles to represent the City; and completed the highest number of work orders by crew members.
