Job Title: Administrative Supervisor – Parks & Recreation

SUMMARY: Manages the administrative functions of the Park & Recreation Department.

subject to change at any time by the employer. Essential duties and responsibilities may include, but are not limited to,
the following:
Oversees the administrative functions of the division including, but not limited to correspondence, memos,
contracts, reports, spreadsheets and agenda items.
Direct administrative functions and needs for the department; hires, supervises, trains, and develops staff through
review of performance data, conferences, training and performance review.
Performs daily functions on CLASS software features; coordinates with technical support for problems and issues
that cannot be resolved in office; upgrades software; installs software; troubleshoots any issues; trains employee
to use software.
Coordinates all aspects of cash management including distribution and reconciliation of petty cash, daily cash
deposits, monthly reports, credit card reconciliation and travel reimbursement.
Prepares and process purchase orders, invoices, budget reports, bank deposits and refunds.
Reviews entries to INCODE to verify completeness and accuracy of information and assignment.
Maintains accounts receivables and payable within the department; oversees and collects on facility and program
account balances.
Coordinate cemetery plot sales, including preparing and processing and delivering deeds, sales appointments
and cemetery correspondence; coordinates services with funeral home staff and undertakers; prepares
documents for funeral homes, families and citizens; performs grave location; responds to inquiries; collects
money from funeral homes, monument companies, and families.
Oversees the rental, maintenance, and repair of Parks and Recreation facilities
Serve as staff liaison for Parks & Recreation Advisory Board by preparing all minutes, notices and agendas and
maintain files and records.
Maintains records, ensuring that all records are retained, stored, and destroyed in accordance with the Texas
State Library Schedules and the Department/Division Records Retention Plan.
Participates and collaborates on special events.
Orders, monitors and maintains inventory of office supplies and equipment.
MINIMUM QUALIFICATIONS:
Education, training and Experience Guidelines
Associates degree from an accredited college or university with major coursework in Business Administration, Public
Administration or related field. Five years of full-time progressively responsible secretarial or administrative experience.
OR Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
Knowledge of:
Business administration and advanced secretarial practices and procedures.
Public relations and customer service practices and procedures.
Research, analysis, interpretation and report development of complex administrative issues.
City management policies and procedures.
Skill in:

Using a computer and various software programs.
Communicate effectively, both orally and in writing.
Establishing and maintaining effective working relationships.
Effectively supervising and delegating duties to assigned staff.
Resolving customer complaints and concerns.
Prioritizing, tracking, and managing multiple projects, assignments and duties.
Reading manuals, reports, letters and memos.
Writing accurate and coherent reports, letters and memos.
Performing basic mathematical computations for purposes of preparing statistical reports and recording fiscal
information.
Organizing information for clear presentation.
LICENSES AND CERTIFICATION REQUIREMENTS
Valid Class C Texas driver’s license
