HomeMy WebLinkAboutDeputy Court Clerk SeniorPage 1 of 2 City of Georgetown JOB DESCRIPTION Job Title: Deputy Court Clerk Sr. FLSA Category: Non-exempt Effective Date: 10/01/2012 Revision Date: 05/30/2014 SUMMARY: Assists the court in administering the court’s juvenile and minor dockets and oversees the Teen Court Program. Monitors all aspects of the juvenile and minor cases as they move through the court process to ensure compliance of court orders. ESSENTIAL FUNCTIONS: Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Essential duties and responsibilities may include, but are not limited to, the following:  Designs and implements systems and procedures under Municipal Court guidelines to ensure uniform and accurate juvenile/minor case management including docket settings, docket notifications, processing applicable forms, processing summons or subpoenas, coordinate courtroom activity, system updating, compliance case monitoring, and quality control.  Administers the Teen Court program which includes docket settings, notifications, training, case assignments, meal planning and hosting awards banquet according to City policies.  Collects payments, posts correctly to the court system, balances a cash drawer and deposits collections, and following the established cashiering procedures; prepares daily bank deposit for department.  Records and processes mail.  Develops and maintains working relationship with the county, other courts, school officials, community service organizations and city departments to develop and implement collaborative youth services, including community service options.  Acts as liaison between local agencies regarding functions and operations of the juvenile restitution program and other programs associated with juvenile court referrals.  Reviews and processes performed community service hours or non-cash requests; ensures information is recorded in multi data systems.  Researches, compiles, records and files a wide variety of court records, reports and materials including citations, summons, warrants, letters, required reports, and complaints.  Provides assistance to juvenile/minor offenders for alternative sentencing options to include community resources such as, but not limited to; local, state and federal agencies; school resources, and nonprofit agencies.  Assists Court Clerk by providing accurate and timely data to prepare monthly reports.  Explains court procedures and drivers safety courses to defendants.  Assists the public in person and by phone.  Ensures the effective coordination of Municipal Court operations to team and other City departments by communicating effectively on problems and issues.  Stays abreast of legislature and court procedures and training related to court duties, to ensure compliance with applicable laws, rules, and regulations, primarily as it relates to juvenile/minor offenders.  May interpret for Spanish speaking defendants.  Performs other duties as required. MINIMUM QUALIFICATIONS: Education, training and Experience Guidelines High school diploma or equivalent. Three years of full-time experience as a court clerk or juvenile case manager. OR Any equivalent combination of experience, education and/or training that provides the required knowledge, skills or abilities. Page 2 of 2 Knowledge of:  Clerical procedures of processing, recording and preparing legal documents, records, and reports related to court operations.  City ordinances, court procedures, and legislation pertinent to job duties. Skill in:  Establishing and maintaining effective working relationships with other employees, outside agencies, court officials, and the general public.  Communicating effectively, both orally and in writing.  Interpreting and applying court procedures and City ordinances to duties.  Reading TMCEC clerk manual, memoranda, legislation, and educational materials LICENSES AND CERTIFICATION REQUIREMENTS Level 1 Court Clerk certification and required annual training to maintain certification. PHYSICAL DEMANDS AND WORKING ENVIRONMENT Standing, sitting, walking, lifting, carrying, pushing, pulling, reaching, handling, fine dexterity, kneeling, crouching, crawling, bending, twisting, climbing, balancing, vision, hearing, talking, use of foot controls.
