HomeMy WebLinkAboutGroup Sales and Servicing CoordinatorPage 1 of 2 City of Georgetown JOB DESCRIPTION Job Title: Group Sales & Servicing Coordinator Effective Date: FLSA Category: Non-exempt Revision Date: SUMMARY: Responsible for marketing Georgetown as the site for group meetings, conventions, trade shows and sporting events which will utilize Georgetown lodging facilities. Ensure organizers and attendees have a positive experience in Georgetown. Evening and weekend work is required. Essential duties and responsibilities may include, but are not limited to, the following: • Develop, plan, coordinate and implement sales programs that showcase Georgetown as a first class meeting/event destination. • Work with hotel/conference center staff and meeting/event planners to ensure organizers and attendees have a positive experience in Georgetown. • Work with sports and athletic tournament coordinators to attract new events, increase hotel room block sales, and promote Georgetown to attendees. • Responsible for all areas of Group Services (registration, scheduling transportation, coordinating activities, entertainment, tours, etc.). • Maintain contact information and working relationships with speakers, entertainers, team building coordinators, off-site venues and other pertinent information needed to successfully service meetings/events. • Create, manage, and submit bid packets and presentations. • Prepare and maintain conference, event, meeting, and tournament calendar. • Maintain updated group statistics and prepare monthly reports. • Develop ways to evaluate and disseminate economic impact of conferences, meetings and tournaments on local businesses. • Develop and maintain online Tourism Ambassador Program Certification. • Prepare promotional items, such as goodie bags, for visiting groups and organizations. • Assist with special events and activities. • Be familiar with Georgetown’s history, visitor attractions, hotels, restaurants, etc. • Promote public awareness and educational programs on services and function of the CVB. • Support the Visitor Center as needed • Performs other duties as may be assigned. MINIMUM QUALIFICATIONS: Education, Training and Experience Guidelines Bachelor’s degree from an accredited college or university with major coursework in Tourism, Marketing, Hospitality Management or related field OR any combination of experience, education or training that provides the required knowledge, skills, and abilities. Preferred: Three to five years of successful experience in a convention and visitors bureau sales/servicing position and Certified Meeting Professional (CMP) certification. Page 2 of 2 KNOWLEDGE OF: • Tax Code 351 – Hotel Occupancy Tax Revenue Usage. • Marketing practices and theory. • Modern office practices. • City and administrative policies and procedures. • Social media platforms. • Sales and Marketing principles and methods involved in showing, promoting, and selling services and locations. SKILLS IN: • Public speaking and presentations. • Building and maintaining effective working relationships. • Communicating effectively, both orally and in writing. • Delivering creative and innovative thoughts. • Analyzing and problem-solving. • Performing basic mathematical calculations. • Using a computer and utilizing Microsoft Office applications, including advance word processing/desktop publishing skills. • Using independent judgment in achieving assigned objectives. • Handling multiple tasks simultaneously. • Managing projects; meeting deadlines. • Presenting a positive, pleasant, and professional image at all time. • Ensuring outstanding customer service LICENSES AND CERTIFICATION REQUIREMENTS Valid Class C Texas driver’s license PHYSICAL DEMANDS AND WORKING ENVIRONMENT Standing, sitting, walking, lifting, carrying, pushing, pulling, reaching, handling, fine dexterity, kneeling, crouching, crawling, bending, twisting, climbing, balancing, vision, hearing, talking, use of foot controls.
