JOB DESCRIPTION
Job Title: Administrative Supervisor - Police Effective Date: 10/01/2012

SUMMARY: Provides administrative support for the Police Department, including processing personnel documentation,
and coordinating budget operations.
ESSENTIAL FUNCTIONS: Essential functions, as defined under the Americans with Disabilities Act, may include any of

subject to change at any time by the employer. Essential duties and responsibilities may include, but are not limited to,
the following:
Administers the financial processes of the Police Department to include: issuing of purchase orders and
maintaining purchasing database, providing monthly financial status reports, petty cash transactions; reconciling
credit card transactions, and cash deposits.
Approves, processes and maintains all travel expense reports.
Prepares and maintains Annual Operating Plan submissions for Police.
Establishes and maintains personnel filing system, archived records, accounting records and logs,
correspondence, reports and bulletins.
Generates and provides file and electronic record maintenance on personnel action to include: personnel action
forms, personnel orders, job descriptions, certifications, promotions, recruitment, memberships and dues, oaths of
office, separating employee process, personnel roster.
Direct administrative functions and needs for the department; evaluates, coordinates, prioritizes, and directs
administrative support personnel.
Provides support for Chief and Assistant Chief (presentations, forms, meeting minutes, special projects, and
operational procedures).
Manages department's administrative policies (Directives Manual, Standard Operating Procedures, Training
Bulletins, Operational Memorandums, Code of Ordinances, City of Georgetown Personnel Policy and Procedures,
Financial Reference Handbook) to include researching, formatting, copying and distributing policies, and serve as
custodian of all written departmental documentation.
Attends and documents all Command Staff and Supervisors meetings and provide summary of assignments.
Prepares and maintains agenda items, ordinances, agreements, resolutions for Council meetings.
Coordinates and process training/travel for Chief and Assistant Chief.
Processes and maintains grants files and records.
Plans and organizes special events; award ceremony, swearing in and promotion ceremonies, etc.
Provides Emergency Management clerical assistance and record maintenance as required.
Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
Education, training and Experience Guidelines
Associates degree from an accredited college or university with major coursework in Business Administration, Public
Administration or related field. Five years of full-time progressively responsible secretarial or administrative experience.
OR Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
Knowledge of:
Business administration and advanced secretarial practices and procedures.
Public relations and customer service practices and procedures.
Research, analysis, interpretation and report development of complex administrative issues.
City management policies and procedures.

Skill in:
Using a computer and various software programs.
Communicate effectively, both orally and in writing.
Establishing and maintaining effective working relationships.
Effectively supervising and delegating duties to assigned staff.
Resolving customer complaints and concerns.
Prioritizing, tracking, and managing multiple projects, assignments and duties.
Reading manuals, reports, letters and memos.
Writing accurate and coherent reports, letters and memos.
Performing basic mathematical computations for purposes of preparing statistical reports and recording fiscal
information.
Organizing information for clear presentation.
LICENSES AND CERTIFICATION REQUIREMENTS
Valid Class C Texas driver’s license
